Rental Terms and Conditions
1. The event shall be conducted solely within the designated premises of AmphiVista. No portion of the event, including pre-event
activities, satellite sessions, or post-event gatherings, shall take place outside of AmphiVista property.
2. The rental duration allotted for the event shall strictly adhere to the "Event Format" mutually agreed upon between the host
and venue management. No additional time beyond the stipulated schedule shall be granted under any circumstances, including setup,
teardown, or guest arrival delays, unless expressly authorized in writing.
3. The maximum number of guests permitted for any event held at the venue shall not exceed 200 attendees, irrespective of event type,
scope, or duration. This limit is enforced to ensure safety, operational efficiency, and compliance with venue capacity regulations.
Exceeding the stipulated guest count without prior written approval may result in penalties, additional charges, or immediate
corrective actions at the discretion of venue management.
4. Use of the event space can only be for the discussed/declared purpose.
5. The host shall not assign, sublet, or otherwise transfer any rights or obligations related to the event or venue usage to any
third party. Furthermore, no unauthorized commercial activity shall be conducted on the premises.
6. The Event Space shall not be held liable or responsible for any personal injury, theft, loss, or food quality/quantity related
issues incurred by guests, participants, vendors, or third parties during the course of the event.
7. Event space renter shall be held financially responsible for any damage, defacement, or undue wear caused to the Event Space,
its furnishings, equipment, or surroundings during the course of the event. In such instances, additional charges will be levied
to cover repair, replacement, or restoration costs as determined by venue management.
8. The possession, consumption, or distribution of alcohol, tobacco products, or any form of illicit substances is strictly
prohibited within the premises of the venue. This restriction applies to all areas, including indoor and outdoor spaces, without
exception. Violation of this policy may result in immediate termination of the event and further legal or financial consequences
as deemed necessary by venue management.
9. Event space is not liable for cancellations due to uncontrollable events.
10. Only the catering vendor explicitly listed shall be authorized to provide food and beverage services for the event. No external
or third-party catering providers shall be permitted on the premises. This exclusivity is enforced to maintain quality standards,
ensure compliance with venue regulations, and streamline service coordination. Any violation may result in termination of catering
privileges or additional penalties.
11. Only the decoration vendor explicitly mentioned shall be authorized to provide decor-related services for the event. Engagement
of external or third-party decorators is strictly prohibited unless granted prior written approval by venue management. This
exclusivity ensures quality control, adherence to venue guidelines, and seamless coordination. Any breach may result in penalties
or revocation of decor privileges.
12. Payments for catering and decoration services shall be made directly by the host/renters to the designated third-party vendors
listed. The Event Space shall not be held responsible for managing, mediating, or processing any financial transactions related to
these services.
13. The use of the venue’s projector or related presentation equipment is subject to an additional charge. Unauthorized use will
result in supplementary fees or termination of event without a refund.
14. The renter agrees to keep all sound generated during the event including amplified music, speeches, and entertainment within
reasonable volume levels as defined by venue management and local regulations. The use of external sound equipment must be approved
in advance. If the event causes noise disturbance to neighboring properties or violates local ordinances, the venue reserves the
right to reduce volume or terminate the event without refund. All audio levels must cease by 9PM IST unless otherwise approved in
writing.
15. The host acknowledges that any surplus food, beverages, or other consumables remaining after the event will not be packaged or
distributed as takeaways or parcels. These items will be managed by the vendor in accordance with health and safety regulations.
Guests and attendees are not permitted to request or carry out leftover items unless explicitly authorized in writing by the venue.
